Acts as a competent proactive and reliable support to Manager’s daily activities: • She/he is the Director/Department’s 1st point of contact with people from both inside and outside the organization • Produces high-quality documents, briefing papers, spreadsheets, charts, tables, graphs and reports • Develops complex power point presentation as supporting material during Director/Department’s meetings • Carries out background research and presents findings to the Director/Department. 2. Provides all-around high-quality administrative support to the Director: • Organizes Director’s travels • Organizes inter-functional and external meetings • Manages and maintains electronic diaries • Establishes and maintains efficient office systems, e.g. correspondence management, filing, etc. • Liaises with clients, suppliers and other staff • Liaises and co-ordinates with other administration staff across Europe. 3. Spending control: • Completes expense forms and maintains accurate records • Maintains accurate budget files • Purchase Order Management in compliance with purchasing policy 4. Compliance: • Manages contracts and documents of the department projects (supports the contracts drafting, checks the approval flow according to the Compliance requirements, archive and manages documents of different projects) • Contributes to Company alignment to national law requirements and internal/Corporate procedures. 5. Privacy: • Responsible (together with the Director) of the data processing for the general management 6. Congress: • Create POs, prepare contracts and check the economics (final balance) for all congresses • Manage the logistics for congresses following internal procedure from a compliance and transparency perspective ensuring mandatory requirements are fully met (i.e. collect names of attendees, choice of menus, approval of flight lists, transfers and any additional activity related to the pre-meeting and meeting organization and privacy collection when required). 7. Project management: • Coordinate internal resources and 3rd parties/vendors for the flawless execution of projects • Ensure that all projects are delivered on-time, within scope and within budget 8. Job holder must respect internal rules and all rules based on the respective legal and ethical (AIFP codex) standards. Any safety related details concerning Biogen products (adverse event / suspicion on adverse event etc.) must report to the Affiliate Safety Designated Staff in accordance with current internal company rules. Any quality related details concerning Biogen products (product complaints / product defects / suspicion on product defects / falsified medicinal products etc.) must reports directly to the Manager, Quality & Governance in accordance with current internal company rules.
